Privacy
What Solwise keeps, for how long, what it sends to others, and how to remove it. Written for the private beta, October 2026.
The waitlist
If you join the waitlist, Solwise keeps only your email address, the date you joined, where you joined (the home page or after signing up) and, if you made an account, its id, to invite you. The list is stored with Supabase, our sign-in provider, with a copy on Solwise's own server. It is never shared or shown to anyone else. Ask us to remove it at any time.
Your account
Sign-in is handled by Supabase: your email address and password are held by them. Solwise keeps your account id and email with your sign-in sessions.
The file you upload
Solwise saves your report when the numbers check out. You can change how it was read, or delete it, from the report. Unsaved uploads are held in memory for up to 15 minutes. When a report is saved automatically, Solwise keeps its cells with contact details removed until you delete the report.
In sales files, emails, phone numbers, addresses and card digits are dropped when you upload; they are never saved.
What is saved, until you delete it
- From a profit and loss: each line's name, category, amount and period, the cell it came from, and the results Solwise calculated.
- From a balance sheet: the as-at dates, each figure Solwise calculated with the file rows it came from, its findings, and the text of the rows it left out. The original upload is held in memory for up to 15 minutes; saved report cells are kept until you delete the report. The AI sees a balance sheet only for the second check (below).
- From a sales file: each sale's date, item, quantity, amount, discount and, if your file has one, the customer's name. Customer names are visible only to you, and you can delete them at any time.
- The cells of each file you saved a report from (contact details removed), so you can change how it was read. Deleted when you delete the report.
- Any AI explanation you asked for, saved with its report.
- If you use Ask about this report, Solwise keeps your last 20 questions and answers for that report, visible only to you, until you delete the report or clear the conversation. Nothing else about the conversation is kept.
The AI provider
Solwise uses Groq, an AI provider, for an automatic column suggestion when a sales file is hard to read. Other AI features run only when you press a button that says so. What is sent:
- For a written explanation of a report: the calculated totals and ratios, the names of your expense categories, and a list of what is missing.
- For a question about a report: your question and the calculated figures it needs (totals, ratios, the names of your expense categories, a list of what is missing and, from a linked sales upload, only totals, counts and shares), with your earlier questions in that conversation. Groq receives your question and the calculated figures it needs, never your file.
- For help on a check page (“Ask for help”): what kind of file Solwise thinks it is, the list of steps still to do, the column headings you can already see, row counts, and your question. Never a cell value, a customer name, an amount or your file.
- For the second check on any file (profit and loss, sales, balance sheet), which runs on its own when Solwise saves the file for you, or when you press its button: the figures Python calculated with an id each, the file rows behind them with emails, phone numbers, street addresses and card numbers replaced by [email], [phone], [address] and [card], the checks and counts. In a sales file customer names become [name] and columns Solwise did not match to a field are left out. Large sales files send a sample of rows and say so. Your file itself is never sent. The AI can only raise a concern; it cannot change a figure.
- From a sales pipeline export: each deal's stage, amount, close and create dates, probability, lead source, and the deal name, company and owner (visible only to you, deleted with the report). Contact emails, next steps and last activity are not read. From a targets and commission sheet: each rep's name, territory, annual target, quarterly actuals, rates, commission and adjustment amounts. The Notes and Start date columns are never read, so text such as performance notes is left out of your report and is not sent to anyone.
- From a cash flow statement: each month's opening cash, movements and closing cash, the account names and the flags Solwise raised (visible only to you, deleted with the report). The company name is never sent to the AI check.
- From a stock report: each line's SKU, description, bin location, quantity on hand, quantity allocated, unit cost, reorder point and last count date, the totals Solwise calculated from them and the flags it raised (visible only to you, deleted with the report). The Notes column, any title or note rows above the headings, and any column Solwise did not read are dropped when the report is saved and are not shown or sent. A stock report is never added to your sales or profit.
- The second check on a pipeline or targets file sees figures and masked source rows only: rep names become [Rep 1], [Rep 2]; deal names, companies and owners become [deal], [company] and [owner]; unread columns are [not sent].
- Most PDFs are read on our server with no AI. For a PDF Solwise cannot read that way (profit and loss or balance sheet), only after you tick the box on the check page: the text of the PDF with page and line numbers, with emails, phone numbers, street addresses and card numbers replaced by [email], [phone], [address] and [card]. You see that text first. Your PDF file itself is not sent and is not saved.
- For an automatic suggestion on how to read a sales file: its column headings, the shape of each row, and sample numbers and dates. No text cell is sent. Solwise checks the suggestion against the file before using it.
- For the Workspace assistant, when you have agreed once: your message, the recent conversation, your saved plan, task and calendar titles, and (unless you leave them out) the calculated figures from your latest reports. From calendars you connect, only busy times and your Calendly booking link names, never the titles of those events.
- For Sol, the helper, when you ask the AI and have agreed once: your question, guide entries and, from your saved reports, the calculated figures, findings and sales totals for the page you are on (your latest report when the page names none). Never your file or a customer name.
Your file itself is never sent. Text from it is sent only as each line above says (for example your expense category names, masked rows for the second check, or masked PDF text). Masking catches common email, phone, address and card formats, not every name. Your question is sent as you type it, so leave personal details out of it. Groq handles what it receives under its own terms. A record of each AI request (its size and cost, not its content) is kept to enforce spending limits, also after you delete the report.
Connected calendars (Google Calendar, Calendly)
Only if you connect one in the Workspace. Solwise keeps the access it was granted, encrypted, and a copy of your events for the two months it last read (title and time; never invitees). It contacts Google or Calendly only when you press Connect, Refresh, Also add to Google, Update on Google, Delete from Google or Disconnect. It writes to Google Calendar only when you press one of those buttons, and never to Calendly. Disconnect deletes the access and the copies, and asks the provider to withdraw the access; events you added to Google stay there. Delete all my data does the same.
Cookies and your browser
One cookie, gambit_session, keeps you signed in. It ends when you sign out, after 12 hours without use, or 7 days after you signed in. Your light or dark theme and sidebar choice are remembered in your own browser and never sent to Solwise. No advertising or tracking cookies are used.
Where it runs
During the beta Solwise runs on one server rented from Amazon Web Services in Oregon, USA. Traffic to solwise.org is encrypted and carried by Cloudflare. The server keeps a short log of requests (address and page) to fix problems; older lines are overwritten, usually within days. Saved data is backed up every night and each backup is kept for 14 days, so something you delete is gone from backups within 14 days. Solwise does not sell your data or use it for advertising.
Deleting your data
- Delete a report from its page (“Delete report and analysis”). Its questions and answers are deleted with it.
- Delete a report's questions and answers only, from its page (“Clear conversation”).
- Delete a balance sheet, pipeline, targets, cash flow or stock report from its page.
- Delete a sales upload, or only its customer names, from its sales overview.
- Delete everything at once from your account page (“Delete all my data”). Your sign-in stays.
- To delete your account and everything with it, ask us: use the contact address given to you with your beta invitation. We delete it and confirm.
Business listings
Business listings come from OpenStreetMap and are public. Your uploaded figures stay private to your account.
